Introducing Project Chat: Real-Time Team Communication Inside Every WorkGuru Project

June 3, 2026

Every WorkGuru project can now have its own built-in chat — real-time, private to the team on the job, and kept alongside the project so nothing gets lost.

No more hunting through text messages. No more digging through email chains. No more wondering who approved a change on site six months ago.

Project Chat keeps conversations where they belong: alongside the work itself.

Whether you're in the office, on-site, or managing multiple projects at once, everyone can now communicate in real time from inside the project they're working on.

The Problem: Job Conversations Are Everywhere

Most project communication doesn't happen inside project management software. It happens in:

  • Text messages
  • WhatsApp groups
  • Email threads
  • Phone calls
  • Personal messaging apps

At first, that seems convenient. Until someone needs information.

A project manager asks why a material substitution was approved. The office needs clarification on a variation. A new team member joins the project and needs context.

The answer usually exists somewhere — but often in someone's phone, buried in a message thread nobody else can access.

The result is frustration, delays, duplicated work, and important project knowledge disappearing when people leave the business or move onto other jobs.

The conversation about a project should live with the project. That's why we built Project Chat.

What Is Project Chat?

Project Chat is a real-time conversation space built directly into every WorkGuru project. Instead of creating separate group chats or relying on external messaging apps, your team can communicate where the work already lives.

Every project gets a dedicated conversation that keeps discussions, decisions and updates attached to the job itself.

With Project Chat, you can:

  • Send real-time messages to the project team
  • Share site photos and images directly into the conversation
  • Keep project discussions in one place
  • Give new team members access to the full conversation history
  • Maintain a complete communication record alongside the project

There are no separate apps to manage and no additional setup required. Just open the project and start talking.

Built Around How Projects Actually Work

The biggest challenge with workplace chat tools isn't sending messages — it's getting the right people into the conversation.

Most chat systems require someone to create a group, remember who should be included, add new people as they join, and remove people when they're no longer involved.

Project Chat takes a different approach.

Team Membership Happens Automatically

When someone is assigned work on a project, they're automatically included in the conversation. The Project Manager is included. Anyone assigned to project tasks is included.

As the team changes, the conversation stays connected to the people doing the work. There's no need to create separate chat groups or manage multiple conversations for the same job.

Open the project. Open the chat. Start communicating. That's it.

A Practical Example

Imagine a technician arrives on site and discovers that a specified material isn't suitable for the installation.

Instead of making a phone call that nobody records, they open Project Chat and upload a photo. The project manager reviews the image, discusses options with the team and approves a change.

Weeks later, the office team can see exactly what happened. Months later, if a customer asks why the material changed, the conversation is still attached to the project.

Nothing is lost. Everyone has the same context. The project's history remains part of the project.

Available Anywhere You Work

Project Chat is available across WorkGuru on both desktop and mobile. Whether you're managing projects from the office or updating jobs from the field, your project conversations stay connected to the work you're doing.

Because chat is built directly into WorkGuru, there's no need to switch between systems or maintain separate communication tools for project discussions.

Keeping Conversations Secure

Project Chat is controlled through WorkGuru permissions. Users with the Chat permission can participate in project conversations. This permission is turned on by default.

By default, the Project Manager and team members assigned to project tasks are included in the chat. Project Managers can manage who participates in their project conversations.

Businesses can also grant managers broader access so they can oversee and participate in chats across projects when required.

For full setup and permission details, see our Help Centre articles.

What Happens When a Project Is Completed?

When a project is completed, its chat is closed. The conversation history remains attached to the project for future reference, but no new messages can be added.

This ensures important project decisions, discussions and context remain available long after the work has been finished.

How To Get Started

Getting started takes less than a minute.

  1. Open any active project in WorkGuru.
  2. If the project doesn't already have a chat, click Create Chat for this Project.
  3. Start your first conversation.

The team is already there.

For administrators, WorkGuru also provides options to create chats for existing projects so older jobs can benefit from the same communication history.

Why Project Chat Matters

Project Chat isn't about replacing every communication tool your business uses. It's about ensuring project conversations stay connected to the project itself.

When discussions happen inside the job:

  • Information is easier to find.
  • New team members get context immediately.
  • Decisions are documented automatically.
  • Field and office teams stay aligned.
  • Important project knowledge doesn't disappear.

Instead of asking, "Who has that message?" you can simply open the project and see the conversation.

This Is Just The Beginning

Project Chat is the first release of a new way to collaborate inside WorkGuru. We'll continue improving it based on feedback from the businesses using it every day.

Start the Conversation

Projects generate conversations. Now those conversations can live where the work does.

Open a project, start the chat, and keep your team connected from first quote to final completion.
