Questions sheet metal fabricators ask
We do a lot of quick jobs. Is the overhead worth it?
That depends on how many of them there are. A single quick job does not need much system. Two hundred quick jobs a month, priced from a rate card that nobody has revisited in three years, is exactly where sheet metal shops quietly lose money. The jobs stay quick to raise; what you gain is the ability to look at a month of them together and see whether the rate card still reflects reality. It usually does not.
Can we track machine time as well as labour?
You can structure the job so machine operations are their own tasks and record time against them, which separates press, laser or folding time from general labour. For sheet metal this is worth doing because the machine hour and the labour hour have very different costs, and a job costed at a blended rate will systematically misprice work that is machine-heavy or labour-heavy.
How do we handle material with high offcut rates?
Material bought for a job goes on a project purchase; sheet held in stock issues to the job. What the system records is what you issued, not what you used, and in sheet metal the gap between those two is the whole nesting question. The honest position is that WorkGuru will not calculate your yield — your nesting software does that — but comparing issued material against the estimate across a run of jobs will show you whether your allowance is systematically wrong.
We already have nesting software. Does this replace it?
No. Nesting decides how parts sit on the sheet and WorkGuru does not attempt that. It runs the job around it: the quote, the order, the labour, the material purchasing, the outside finishing and the cost. The natural join is that nesting tells you how much material the job needs and WorkGuru records what that material cost and whether the job carried it.
Can we handle powder coating and other finishing?
Yes, as project purchases. Finishing is bought work with real elapsed time, and keeping it on the job holds both the cost and the delay against the work it belongs to. On short-cycle sheet metal jobs the finishing turnaround is frequently longer than everything you do in-house put together, which makes it the thing most worth having visible when you promise a date.
Can we do installation as well as fabrication?
Yes. Site hours record against the same job as shop hours, ideally as a separate task so the two can be compared. Sheet metal shops that install often find the site component behaves nothing like the shop component — it is weather-dependent, access-dependent and far harder to estimate — and keeping it separate is what lets you price it properly next time.
What happens when a job changes after cutting?
Record the rework on the same job. Re-cut material, additional hours and any extra finishing go on as they occur, with the original allowance still visible. Rework in sheet metal is usually absorbed silently because each instance is small. Recorded consistently, it stops being small — most shops are surprised by the annual total, and that total is normally the argument for fixing whatever upstream problem is causing it.
Can we quote from previous jobs?
Yes. Past jobs carry their real hours, material and finishing costs, and project and quote templates let you start new work from that structure. For a shop doing high-mix, low-volume work this is the main defence against estimate drift, because your quoting stays anchored to outcomes rather than to a rate that was accurate when you set it. Estimate drift is quiet and cumulative: material prices move, a process gets slower as a machine ages, a customer’s parts get marginally more complex each order, and none of those show up in a rate card that nobody revisits. Quoting from completed jobs means each of those changes reaches your prices without anyone having to notice them first. It also gives you something to point at when a long-standing customer questions an increase.
Can we manage stocked sheet and coil?
Yes, through inventory, with issues recorded to jobs. The practical value is less about stock valuation and more about not discovering on Thursday that the grade the job needs has not been in the rack for a fortnight. Keeping the issues attached to jobs is also what stops job costs being quietly understated by material nobody attributed — the sheet pulled off the rack for a quick job and never written down is a real cost that ends up spread across everything else. Par levels can flag when a commonly used grade or gauge is running low, which matters most for the materials you never think about until they are gone. The shops that get the most from this are usually the ones holding a narrow range of stock in depth, rather than a wide range in ones and twos.
