The reality

A sign job can go through a lot of hands before anyone sees it on the wall.

No two jobs are exactly the same, but a few problems come up again and again.

Artwork changes late.

Production is ready and the client sends another revision.

Different jobs use different processes.

Print, fabrication, paint, electrical, router work and assembly all add time.

Bought-in parts add up.

LEDs, transformers, fixings, acrylic, vinyl and hardware all belong to the job.

Site measurements change the plan.

The install can need more work than anyone expected.

Small jobs pile up.

Ten quick signs can be harder to keep straight than one big project.

The install crew finds the last surprise.

Access, structure or site conditions add hours at the end.

How it runs

Keep the job together from start to finish.

Same job record from the first quote through to the invoice. Nothing gets re-entered and nothing gets left in someone’s head.

What it looks like in a real workshop

We are adding stories from sign manufacturers. In the meantime, see how workshops like yours run WorkGuru.

Why sign manufacturers choose WorkGuru

Know what is going on with the job.

Sign jobs move from artwork through production to install, often with a mix of bought-in parts and custom work. WorkGuru keeps that whole job together.

Which artwork are we using?

Keep the job moving with the right information.

What parts and materials are still needed?

Keep purchases with the job.

How many production hours are in it?

See the real time across different processes.

What changed at install?

Keep the extra work with the job.

Did the job actually pay?

Compare what you quoted with what it really took.

The tools you will actually use

Key features sign manufacturers use

Every one of these has its own page. Follow the link if you want the detail on how it works.

Quoting / Estimating

Put down what you expect the job to need before you start.

Jobs

Keep the important information about the job together.

Scheduling

See what is coming up, what is underway and what is waiting.

Timesheets

Get the team’s hours onto the jobs they actually worked on.

Purchasing

Keep what you buy against the job it was for.

Job Costing

See what you allowed for and what the job is actually costing.

Automations

Handle the reminders, approvals and handovers that are easy to forget when things get busy.

Reporting

Look back at jobs and see what actually happened.

Fit

Will it work for the way we do jobs?

Fair question. Every business does things a little differently. These are the questions that usually matter most.

“We do everything from stickers to big signs.”

That is fine. Small jobs can stay simple and bigger projects can carry more detail.

“We already have design software.”

Keep it. WorkGuru handles the job around the artwork and production.

“We do installation as well.”

Keep install time and costs with the same job.

“A lot of jobs are custom.”

Each job can carry its own materials, processes and labour.

Where it pays off

What sign manufacturers use WorkGuru to fix

Each of these is a job to be done rather than a feature. The chips show the parts of WorkGuru doing the work.

Job Profitability

Know what the job actually made, not what the quote said it would.

Workshop Visibility

Know what is on the floor, what is waiting, and what is holding things up.

Workshop Scheduling

Put work in front of the right people in the right order, and move it when things change.

Project Purchasing

Keep supplier orders and bought-in parts against the job they belong to.

Quoting & Estimating

Price work off what jobs like it actually took, and get the quote back out the same day.

Faster Invoicing

Invoice off what was recorded on the job, so nothing gets missed and nothing sits waiting.

Integrations

Keep using the systems you already have.

You do not need to replace your accounting or ERP system just to get the jobs under control. WorkGuru handles the job side – quoting, scheduling, timesheets, purchasing and job costs – and connects with the other systems you use.

FAQs

Questions sign manufacturers ask

“We do everything from stickers to illuminated pylon signs. Can one system cover that?”

Yes, with different amounts of detail per job. A vinyl cut is a customer, a material and an hour. A pylon sign is design, council approval, fabrication, electrical, a crane and a traffic management plan. Both are jobs; only one needs the full structure. The reason for keeping them in the same system is that the small work is where signage businesses lose money invisibly — individually trivial jobs, priced from a rate card, consuming setup and admin time nobody has ever counted.

“Can we keep design and artwork time on the job?”

Yes, as its own task. Artwork is the most frequently given-away work in signage — revisions, proofs, customer changes, setting up files for production — and it is almost never quoted separately from the sign. Recording it tells you two things: what your real design cost per job is, and which customers consume four rounds of proofs as a matter of course. The second is usually more actionable than the first.

“How do we handle print consumables and substrates?”

Substrate and media held in stock issue to the job; anything bought specifically goes on a project purchase. What the system records is what you issued rather than what ended up on the sign, and in signage the difference is your waste — offcuts, misprints, colour reruns. It will not calculate that for you, but comparing issued material against the allowance over a run of jobs is usually enough to show whether your material factor is realistic.

“Can we track council approvals and permits?”

Keep the approval process as a task and the documentation as project documents, so the elapsed time and the paperwork sit with the job. Approvals matter commercially in signage because they sit between the deposit and the manufacture, they can take months, and the customer frequently believes the delay is yours. Having the dates on the job is what turns that into an explanation rather than an argument.

“Can we manage installation, including access equipment?”

Yes. Install hours record against the job, and hired access equipment, cranes and traffic management go on as project purchases. Signage installation cost is driven far more by access than by the sign — the same fascia letters cost very differently at ground level and at twelve metres over a footpath — and pricing that from the sign rather than the location is the most common estimating error in the trade.

“We already have design software. Does this replace it?”

Yes, through project purchasing. A great deal of signage work is resold — printed panels, illuminated modules, fabricated letters from a specialist supplier — and on those jobs your margin is a markup rather than a labour result. Keeping the purchase on the job makes that markup visible, which is worth knowing because it is frequently eroded by the coordination, artwork and installation you did not charge for.

“Can we handle jobs that are mostly bought in?”

“Can we do rollouts across multiple sites?”

Yes, and templates make them workable. National rollouts for a retail or franchise customer repeat the same sign type across many locations with site-specific variations, and a template holds the common structure. The valuable output is the comparison between sites: once you can see that particular locations consistently cost more in access and approvals, you can price regionally rather than applying one number to every store.

“Can we see which kinds of signage work make money?”

Yes, once jobs carry their full cost. Signage businesses are usually carrying several distinct businesses under one roof — vehicle wraps, shopfronts, digital print, large format structural — with quite different economics, and the instinct about which is profitable is frequently formed from revenue rather than margin. Costing them apart is what settles it.

“Does WorkGuru replace our accounting system?”

No. It runs the operational side — jobs, artwork, materials, production, install and costing — and connects to accounting for invoices and bills. For signage the practical gain is being able to see small-job profitability at all, which a general ledger cannot show you because it has never known that four hundred separate jobs happened last month.
