The Sales Hub replaces scattered lists and manual follow-ups with a single, execution-first view of your entire pipeline. From the moment a lead lands to the day you convert it into a project, every step lives in one place.

Pipeline at a glance

Your pipeline is broken into customisable stages — from New through Discovery Meeting Booked, Proposal Submitted, and Verbal Approval — so you always know where every deal stands. Each lead carries a close probability, forecast close date, and expected budget, giving you real visibility over future revenue.

Activity-driven selling

Log calls, emails, meetings, and site visits against each lead. The Sales Hub surfaces your overdue activities, items due today, and upcoming follow-ups in a prioritised list, so nothing slips through the cracks. Toggle between My Activities and Team view to manage your own pipeline or coach across the sales floor.

Metrics strip

A top-of-page metrics bar shows your open quotes, drafts, expected close value, new leads, and unquoted leads at a glance. Filter by 7-day or 30-day windows to track momentum over time.

AI-drafted emails

Need to follow up with a prospect? WorkGuru can now draft personalised email content for you, pulling context from the lead's history, linked quotes, and your configured templates. Review, edit, and send — all without leaving the Sales Hub.
Lead → Quote → Project → Invoice. The Sales Hub isn't a standalone CRM — it's wired directly into WorkGuru's quoting and project engines. Convert a won lead into a quote with one click, and the full lifecycle flows from there.

The Sales Hub doesn't just give you a pipeline — it tells you what to do next. The new CRM Settings panel lets you fine-tune how WorkGuru generates follow-up recommendations and how AI drafts your emails, so the system works the way your team sells.

Configure the follow-up cadence that matches your sales rhythm. Set how many days of inactivity should trigger a recommendation for quote follow-ups, unquoted leads, and general lead follow-ups — each with its own threshold. WorkGuru watches your pipeline and surfaces the right nudge at the right time, so no deal goes cold because someone forgot to check in.

Key account management

Flag your most important clients by price tier or individually, and set a separate contact frequency for key accounts. If your biggest customer hasn't heard from you in 30 days, the Sales Hub will let you know — before they start taking calls from your competitors.

AI email drafting — your voice, your rules

WorkGuru's AI engine can draft follow-up emails for you, but it writes them your way. The Custom Instructions field lets you define your company's tone, style, and guardrails. Tell it to use Australian English, keep it direct, never include pricing, always push for a meeting — whatever matters to your brand. Those instructions are baked into every AI-generated draft, so the output sounds like your team wrote it, not a chatbot.
Your prompt, your emails. The AI custom instructions aren't a one-size-fits-all template — they're a direct prompt to the AI engine. Write them the way you'd brief a new sales rep on day one, and every drafted email will follow the same playbook.

If the Sales Hub is about winning work, the Ops Hub is about delivering it. It pulls together projects, production jobs, purchase orders, tasks, stock sales, and to-dos into a single operational dashboard — so you can see what's at risk before it becomes a problem.

Snapshot metrics

Six cards across the top of the board show you the numbers that matter: projects at risk, production jobs at risk, late or due purchase orders, tasks at risk, stock sales at risk, and outstanding to-dos. Each card is colour-coded by severity — green means clear, amber means attention needed, red means overdue. Click any card to filter the list below.

Unified item list

Below the snapshot, every operational item is merged into a single timeline grouped by urgency: Overdue, Due Today, and Upcoming. Each row shows the item type, title, context (project, client, assignee), and timing. No more switching between five different pages to figure out what needs attention.

Inline actions

Complete a to-do or reschedule a task without leaving the board. The Ops Hub is designed for daily standups and quick triage — spot the risk, take action, move on.

Insights on demand

Expand any item to see deeper context: hours forecast vs. actual, incomplete tasks, unreceived purchase orders, and supplier delivery history. These insights load asynchronously so the board stays fast even with hundreds of items.
Mine vs. Team. Toggle between your own workload and the full team view. Use the type filter to focus on just production jobs, just POs, or any combination — whatever your morning triage needs.
Percentage Line Items

Surcharges & Discounts, Done Right

You've been asking for this one. Percentage Line Items let you apply transaction-level surcharges and discounts across Quotes, Projects, Stock Sales, and Invoices — as a percentage of the combined product and task subtotal.

How it works

Add one or more percentage lines to any transaction. Each line has a description (e.g. "Fuel Surcharge", "Early Payment Discount", "Trade Discount") and a percentage value. WorkGuru calculates the dollar amount automatically and stores it alongside the percentage for clean accounting integration. Percentage lines are non-compounding — each one calculates against the base subtotal, not against each other. This keeps the maths predictable and the audit trail clean.

Templates & presets

Create reusable Percentage Line Item Templates so your team can apply common surcharges or discounts with a single click. Project templates also support percentage lines, so your standard project setups flow through automatically.

Full lifecycle flow

Percentage lines follow the WorkGuru lifecycle: Quote → Project/Stock Sale → Invoice. When you convert a quote to a project, the percentage lines come with it — with back-references for full traceability.

Accounting integration

Stored dollar values sync cleanly to Xero, MYOB, and QuickBooks Online. Your accounting system sees real line items, not calculated fields — no reconciliation surprises.
Feature flag controlled. Percentage Line Items are gated behind a tenant-level feature flag, so you can enable them when you're ready without affecting other organisations.

A Fresh Look Across the Board

We've overhauled the visual layer of WorkGuru with a modern design token system, new charting, and the feature you've all been waiting for — dark mode.

Dark mode

Every page in WorkGuru now supports a proper dark theme. Each user can toggle it independently from the My Settings page under their profile — so your night-owl ops manager can go dark while the sales team stays on light. Preferences are per-user and sync across devices. It's not a quick CSS invert — we've built a full semantic token system with dedicated dark-mode colour values for every component, card, table, badge, and toolbar.

Colour themes

Beyond light and dark, you can now choose from five colour themes: Indigo (the default), Ocean, Emerald, Sunset, and Rose. Pair any colour theme with light or dark mode, and optionally toggle between rounded and sharp corner styles. Make WorkGuru feel like your tool.

Dashboards

The dashboard has been refreshed with a modular widget system. Choose from 25+ widgets covering your tasks, calendar, timesheets, quotes, project overviews, financial summaries, lead activities, and more. Widgets load with skeleton placeholders for a snappy feel, and you can set a default layout for your team or customise your own.

Charts in every report

All 90+ pivot reports now include Chart.js-powered visualisations. Grouped bar charts render directly from your report data with a carefully designed 15-colour palette, so you can spot trends without exporting to a spreadsheet. Charts update dynamically as you filter and pivot your data.

Modern component styling

Under the hood, all new components use CSS custom properties tied to the theme token system. This means consistent colours, spacing, and typography everywhere — and it means future features automatically inherit the right look in both light and dark mode.
