See it in action
What you can ask ChatGPT to do in WorkGuru
See every quote’s status in one reply
Ask ChatGPT for your quotes and get the status, value and client together, then move straight to the next step without opening each one.
- Find quotes and read their line items and totals
- Create, issue and revise draft quotes
- Email quotes to clients and accept them into projects
- Read takeoff line items from drawings and spec documents
You have three quotes on file. Two have been accepted and one is still a draft:
The Henderson draft has no lines yet. Want me to start adding them?
Catch the orders that never went out
Ask ChatGPT what’s on order for a job and spot purchase orders that were never approved, before the steel turns up late.
- Read purchase orders and their lines
- Draft and approve purchase orders
- Receive full or partial deliveries
- Book stock out to a job
PRO1002 has two supplier orders, and both are still drafts:
Neither has been approved, so nothing has actually been ordered. Want me to approve them?
Know what’s on the shelf before you promise a date
Ask ChatGPT what’s in stock, what’s short and who supplies it, all in the same conversation.
- Check stock on hand by warehouse
- Find upcoming shortages and who supplies them
- Draft purchase orders to cover the gap
Two of the four platform items are covered. The SHS and grating are short:
You’re short 12 lengths of SHS and 18 grating panels. Want me to draft purchase orders for the shortfall?
One question, the whole job
ChatGPT pulls tasks, labour, costs and warnings into one answer, so you know where a job stands without running a report.
- See a job’s tasks, materials, notes and financials
- Find jobs that are running late
- Update statuses and due dates, and add notes
PRO1002 for Brisbane Industrial Services is in progress, managed by Jake Thompson. It was due on 26 October.
Three purchase orders haven’t been received yet. Want me to list them?
Spot missing timesheets before payroll
Missing hours mean missing job costs. Ask ChatGPT who hasn’t logged time, then fill the gaps against the right task.
- Read logged time by job or by person
- Find days with no time logged
- Log hours against a project task
Seven people have no time booked on any weekday from 23 to 29 October:
Some of these may be leave or non-working days, so they’re worth checking before payroll.
Turn finished work into invoices
Ask ChatGPT to find work that’s done but not invoiced, then have a draft invoice ready for your approval.
- Search invoices and find work done but not billed
- See who owes you and how overdue it is
- Create, approve and email draft invoices
One job has unbilled work, based on what’s been recorded against it:
Nothing has been invoiced on this job yet. Want me to create a draft invoice for the work recorded so far?
Why connect ChatGPT to WorkGuru
Less time in the office. More time getting jobs out the door.
Your jobs, quotes, materials, purchase orders and timesheets already live in WorkGuru. Connecting ChatGPT means you can ask for what you need in the same chat you already use, instead of hunting through records, and the everyday admin moves forward while you get on with the work.
See it in action
What you can ask ChatGPT to do in WorkGuru
Get answers without the clicking
Ask ChatGPT about a job, quote, invoice, stock item or client contact and it pulls the answer straight from WorkGuru, no digging through records.
Admin that moves while you type
Draft quotes, purchase orders and invoices, receive deliveries and log hours against tasks by typing what you need into ChatGPT.
WorkGuru stays in charge
Every action ChatGPT takes runs through WorkGuru’s validation, permissions and audit trail, exactly as if someone on your team had done it in the app.
How it connects
How ChatGPT connects to WorkGuru
ChatGPT doesn’t get a back door into your data. It connects through the WorkGuru MCP server, a secure connection that only exposes the tools WorkGuru has built and checked.
-
You
Ask in plain English
“Receive PO 2291, all lines except the 20mm fittings.”
-
ChatGPT
Picks the right tool
ChatGPT works out what you need and calls the matching WorkGuru tool.
-
WorkGuru MCP server
Checks permissions
Only tools within the scopes you granted, capped at your own access.
-
WorkGuru
Does the work
Same business logic, validation and audit trail as the app.
What is MCP? MCP stands for Model Context Protocol. It’s an open standard that lets an AI assistant use a piece of software on your behalf. ChatGPT supports it through custom MCP connections, as do Claude and a growing list of other AI tools.
Why it matters. Without MCP, ChatGPT can only talk about your business in general terms. With the WorkGuru MCP server, it can look things up in WorkGuru and take action, inside the rules WorkGuru sets.
What’s included
More than 60 tools across your whole workflow
The WorkGuru MCP server covers quoting, projects, purchasing, stock, timesheets, invoicing and your client base. ChatGPT can look things up and handle everyday admin in each area.
| Area | Look up | Take action |
|---|---|---|
| Quotes | Find quotes, read line items and totals, list quotes waiting on a reply | Create a draft quote, add or change lines, issue it, email it to the client, revise it, accept it into a project |
| Projects and jobs | Get the full picture of a job, its tasks, materials, notes and financials; find jobs running late | Create a project, add tasks and materials, assign staff, update statuses and due dates, add notes |
| Purchasing and stock | Check stock on hand by warehouse, find upcoming shortages and who supplies them, read purchase orders | Draft and approve purchase orders, receive deliveries, book stock out to a job |
| Timesheets | Read logged time by job or person; find days with no time logged | Log hours against a project task |
| Invoicing | Search invoices, find work done but not billed, see who owes you and how overdue it is | Create a draft invoice, approve it, email it to the client |
| Clients, suppliers and sales | Get a client’s history, contacts and notes; search leads | Create and update clients, suppliers and contacts; create leads and log notes against them |
What ChatGPT can look up and do in WorkGuru through the MCP server. Available actions depend on the scopes you grant.
security and permissions
AI help without handing over the keys
The WorkGuru MCP server was built around a simple rule: an agent should be useful without ever putting your data at risk.
Admins decide
An administrator has to allow a user to connect an AI agent before anyone can use it.
Never more access than you
You choose ChatGPT’s read and write scopes, and they can never exceed your own WorkGuru permissions. If you can’t see financials, neither can ChatGPT.
Drafts first
Quotes, invoices and purchase orders are created as drafts, so you can review them before they’re issued or sent.
Same rules, same audit trail
Actions use the same business logic, validation, status changes and audit trail as the WorkGuru app. There’s no shortcut path for AI.
What ChatGPT can’t do
- Delete anything through a WorkGuru MCP tool. There are no delete tools.
- Delete through the WorkGuru API instead. Delete calls are blocked when we detect they come from an AI agent.
- See or change anything outside the scopes you granted.
- Skip the validation your team works to.

FAQs
WorkGuru ChatGPT integration questions
What is the WorkGuru ChatGPT integration?
It connects ChatGPT to your WorkGuru account through the WorkGuru MCP (Model Context Protocol) server, so ChatGPT can access permitted job information and carry out supported tasks like drafting quotes, receiving purchase orders, logging time and preparing invoices.
Can ChatGPT update records in WorkGuru?
Yes, where supported and where you’ve granted write access. Example actions include preparing draft quotes and invoices, managing purchase orders and recording time. WorkGuru’s permissions and validation rules still apply.
Can ChatGPT delete WorkGuru data?
No. The WorkGuru MCP server has no delete tools, and the WorkGuru API blocks delete calls when it detects they come from an AI agent.
Does ChatGPT get access to all our financial and job information?
No. An administrator must allow AI agent connections, and the agent’s read and write scopes can never exceed the connected user’s own WorkGuru permissions.
Can ChatGPT send quotes or invoices to customers?
Yes, with the right write access. Quotes, invoices and purchase orders start as drafts, so you can review them before they’re issued or sent.
Does ChatGPT follow the same rules as my team?
Yes. Actions taken by ChatGPT go through the same business logic as the WorkGuru app, with the same validation, outcome and audit trail as an action taken by a person.
What’s the difference between the WorkGuru MCP server and the WorkGuru API?
The WorkGuru Public API is for developers building integrations in code. The MCP server is built for AI assistants: you describe what you want in plain English and the assistant chooses the right tool.
Which AI assistants work with WorkGuru?
ChatGPT and Claude both connect through the WorkGuru MCP server, and other MCP-compatible assistants can follow.
How much does the WorkGuru ChatGPT integration cost?
The WorkGuru MCP server is free, and currently part of the WorkGuru Beta Program. You’ll need a ChatGPT plan that lets you add custom MCP connections, and on business workspaces your ChatGPT admin may need to allow it.
Is the integration available now?
Yes, ChatGPT is live in beta. WorkGuru is adding customers to the Beta Program in batches.
