WorkGuru vs Ostendo
Compare WorkGuru and Ostendo: platform scope, detailed features, adjacent strengths, pricing, implementation, migration and the businesses each suits best.
At a glance
The short version
| Evaluation | WorkGuru | Ostendo |
|---|---|---|
| Platform type | A mature industrial operations platform covering quoting, scheduling, purchasing, stock, timesheets and job costing. All your operational and communications data in one place, with the general ledger left to your accounting system. | Integrated manufacturing, inventory, distribution, jobbing and service operations suite with deep production, warehousing, MRP, traceability and configurable workflows. |
| Best fit | Fabrication, engineering, manufacturing and project or workshop businesses, where the margin is won or lost on labour, materials and rework rather than on job volume. | Manufacturers, engineering/job shops, distributors and service organisations needing full BOM/MRP, production scheduling, multi-location warehousing, traceability and configurable operational depth. |
| Pricing model | Published per-user pricing in AUD and GBP, with modules you turn on as you need them, so you can price it before you talk to us. | Published concurrent-user pricing. Ostendo currently lists a 5-user pack at A$1,260/year, with optional hosted deployment; all modules are included. |
| Implementation | DIY, WorkGuru-assisted or partner implementation. | Generally consultant/partner-led because the platform can cover manufacturing, warehousing, service, jobbing, accounting links, mobility and substantial configuration. |
| Strongest when | The business needs a job-first industrial operating system connecting CRM, quoting, projects, workshop work, labour, purchasing, stock and live job profitability. | The business needs deeper manufacturing and supply-chain control: multi-level BOMs, MRP, production scheduling, shop-floor execution, warehouse fulfilment, traceability and service operations in the same system. |
Platform purpose and scope
What each platform is for
WorkGuru
WorkGuru runs the work between winning a job and knowing what it made. Quote it, schedule it, buy for it, book time and materials against it, and see the real cost while the job is still open rather than after invoicing. It is deliberately not an accounting system, a payroll system or a dispatch board — those connect to it.
Ostendo
Ostendo is a broad industrial operations suite covering manufacturing, jobbing, inventory, distribution, field/service work, purchasing, sales, mobile operations and analytics. Its manufacturing model goes materially deeper than WorkGuru, with multi-level BOMs, MRP, constraint-based production scheduling, shop-floor execution and extensive inventory traceability. It also supports substantial job/project and service workflows. The central difference is that Ostendo is closer to a configurable manufacturing and distribution operations system, while WorkGuru is more directly centred on the lead-to-job-to-workshop-to-margin workflow.
Best-fit use cases
- Choose WorkGuru when the core problem is coordinating sales, substantial jobs/projects, workshop work, purchasing, labour, stock and margin in one operational flow.
- Choose Ostendo when manufacturers, jobbing shops and distributors needing deeper mrp, warehousing and traceability.
- Where both fit, compare the real operating model rather than feature count: workshop vs field/site, job/project vs product/warehouse, and the implementation depth you are prepared to take on.
Industries and typical customers
WorkGuru is focused on fabrication, engineering, custom manufacturing, structural steel, mining services, heavy repair and related industrial project/workshop businesses. Ostendo: Manufacturing, engineering/job shops, distribution, service, wholesale and product businesses.

Commercials
Pricing, rollout and what it really costs
WorkGuru pricing, implementation and ownership
Current WorkGuru AUD pricing: $350/month platform fee including the first 10 users; additional users $35/month; Inventory $300/month; Workflow Automations $200/month; Advanced Forms $150/month. DIY onboarding is free; guided onboarding and partner implementation are available for businesses that want more help. Re-confirm commercial pricing before publication.
Ostendo pricing
Ostendo publishes concurrent-user pricing, including a 5-user pack at A$1,260/year plus optional hosting. Traditional perpetual/concurrent licensing is also available. Consulting partners provide implementation support separately. Pricing information was checked on 21 August 2026 and should be re-checked immediately before publication.
Implementation and time to value
Implementation and support are partner-led. Deployment can be on-premise or hosted, with greater configuration depth than a typical SaaS rollout. WorkGuru can be implemented DIY, with WorkGuru-assisted onboarding, or through an implementation partner depending on the size and complexity of the business.
Total cost and complexity of ownership
Compare more than licence price: software subscription, implementation, data migration, integrations, training, support, internal administration and the cost of additional systems still required around the core platform. A cheaper licence can be more expensive if it leaves the business running critical workflows elsewhere; a broader ERP/MRP can be more expensive if the extra depth is not actually needed.
Switching
Moving from Ostendo to WorkGuru
Already using Ostendo? Scope migration around the information that still matters: customers and contacts, products, suppliers, open quotes, current jobs, WIP, documents and relevant job history. The exact import path depends on the export formats and APIs available from Ostendo. Historical data that does not need to stay live can remain archived. WorkGuru should confirm migration scope, timing and cost before a customer commits.
The verdict
The matrix is evidence. This is the buying advice.
Where Ostendo is stronger
- Ostendo is materially stronger where the business requires classic manufacturing depth: unlimited-level BOMs, version control, co-products/by-products, routings, setup/run times and configurable make-to-order production
- MRP and capacity planning are substantial differentiators, including material requirements, constraint-based scheduling, load balancing, resource capacity and inventory availability during production planning
- Warehouse and distribution depth is broader, with multi-site warehousing, aisle/rack/row locations, replenishment, automated picking, pick/pack/despatch and proof-of-delivery workflows
- Traceability goes considerably deeper, including serial, batch, expiry, revision, colour, grade and size tracking through inventory and manufacturing
- Ostendo has stronger shop-floor manufacturing execution, including routing status, material issue/backflush, labour capture and QA results against manufacturing orders
- Its field/service capability is also broader, with a planning/assignment board, mobile deployment, offline-capable configurable mobile workflows, preventative maintenance and service-agreement/SLA functionality
- Ostendo has a native full point-of-sale system, while WorkGuru’s counter-sales capability is deliberately narrower
Where WorkGuru is stronger
- WorkGuru is the stronger fit when the operating model is primarily customer jobs and projects rather than MRP-driven manufacturing or distribution
- WorkGuru’s CRM-to-quote-to-project-to-workshop-to-margin workflow is more directly shaped around fabrication, engineering and project workshop businesses rather than requiring the broader manufacturing configuration available in Ostendo
- Project and task Kanban boards provide a more direct visual job-flow model; dedicated Kanban equivalents were not substantiated in the current Ostendo material reviewed
- Project chat and day-to-day collaborative job communication are more directly productised in WorkGuru rather than being assembled from Ostendo notes, notifications, CRM actions and mobile communications
- WorkGuru’s automation model is more directly exposed as user-configurable workflow templates, triggers, conditions and actions; Ostendo is highly configurable but much of its equivalent depth relies on scripts, business rules, graphical navigation workflows and system configuration
- WorkGuru is generally a more targeted adoption for a workshop wanting strong purchasing, stock, labour and live project margin without implementing the deeper MRP, warehouse and production-planning model that makes Ostendo powerful
Choose Ostendo if…
Choose Ostendo when its strongest areas are central to the operating model: full mrp and automated replenishment; multi-location warehouse, pick/pack/dispatch and deep traceability; bom/product-production depth and landed costing.
Choose WorkGuru if…
Choose WorkGuru when the business needs an industrial operations platform that connects CRM and quoting to substantial projects, workshop planning, purchasing, inventory, labour, invoicing and job profitability without adopting a broader ERP than the business needs.
FAQs
Ostendo questions
Is Ostendo a direct WorkGuru competitor?
In some businesses, yes. The overlap depends on the operating model. This page is designed to show both the shared capability and where each platform is intentionally stronger.
Can we migrate from Ostendo to WorkGuru?
Yes, migration can be scoped as part of implementation. The exact data, timing and cost depend on the exports/APIs available from Ostendo and what history you want to retain.
Is WorkGuru cheaper?
Not necessarily in every scenario. Compare current licence pricing plus implementation, modules, integrations and the rest of the software stack. Ostendo pricing on this page is dated 21 August 2026.
Does WorkGuru do the setup?
It can. WorkGuru supports DIY setup, WorkGuru-assisted onboarding and partner implementation depending on complexity.
Where is Ostendo stronger than WorkGuru?
See the adjacent-strength section above. We deliberately include capabilities such as field service, MRP, warehousing, construction takeoffs or specialist steel workflows where the competing platform may be broader or deeper.
Method
How this comparison was prepared
This comparison was prepared by WorkGuru. Ostendo product claims are based on publicly available official product information checked on 21 August 2026. We use the same evaluation framework across every vendor and explicitly identify areas where the competing platform may be stronger.
Customer proof
[CUSTOMER PROOF REQUIRED] Prefer a WorkGuru customer who evaluated or moved from Ostendo. Capture the previous operating problem, why WorkGuru was selected, implementation experience and measurable result.
Checked 3 September 2026. WorkGuru verdicts are preserved from the supplied comparison page. Ostendo was re-audited against current first-party product documentation.
Scope note: Ostendo is a broad configurable operations platform. Some capabilities rely on configuration, Freeway mobility, custom scripts or external financial/payroll systems. Generic API availability is not treated as proof of a specific ecommerce, 3PL or payroll integration.
