WorkGuru vs Simpro
Compare WorkGuru and Simpro across workshop/project operations, field service, pricing, implementation and detailed operational capabilities.
At a glance
The short version
| Evaluation | WorkGuru | Simpro |
|---|---|---|
| Platform type | A mature industrial operations platform covering quoting, scheduling, purchasing, stock, timesheets and job costing. All your operational and communications data in one place, with the general ledger left to your accounting system. | Mature commercial field-service and trade operations platform covering CRM/leads, quoting, projects, service, dispatch, contractors, maintenance, purchasing, inventory, invoicing, payments, assets and reporting. |
| Best fit | Fabrication, engineering, manufacturing and project or workshop businesses, where the margin is won or lost on labour, materials and rework rather than on job volume. | Commercial electrical, plumbing, HVAC, fire, security and other field-service contractors combining technician dispatch, projects, recurring maintenance and customer assets. |
| Pricing model | Published per-user pricing in AUD and GBP, with modules you turn on as you need them, so you can price it before you talk to us. | Quote-based pricing. Simpro publishes base-plan capability and separately purchasable add-ons such as Digital Forms, Data Feed, Maintenance Planner and Takeoffs, but not standard licence prices. |
| Implementation | DIY, WorkGuru-assisted or partner implementation. | Structured onboarding and implementation, with local implementation consultants and optional custom training/professional services. |
| Strongest when | The business needs a job-first industrial operating system connecting CRM, quoting, projects, workshop work, labour, purchasing, stock and live job profitability. | The operational centre is commercial field service: technician dispatch, service/project work, recurring maintenance, customer assets, contractor workflows and mobile field execution. |
Platform purpose and scope
What each platform is for
WorkGuru
WorkGuru runs the work between winning a job and knowing what it made. Quote it, schedule it, buy for it, book time and materials against it, and see the real cost while the job is still open rather than after invoicing. It is deliberately not an accounting system, a payroll system or a dispatch board — those connect to it.
Simpro
Simpro is a mature field-service and trade-operations platform designed for businesses combining service, projects, maintenance and mobile technicians. It has substantial project management, Gantt planning, dispatch, asset maintenance, purchasing, inventory, job costing and progress billing capability, and its 2026 Lightning/RAIN roadmap is adding deeper CRM and AI functionality. It overlaps materially with WorkGuru on project operations, but Simpro’s centre of gravity remains field service, technicians and recurring maintenance rather than workshop-led fabrication or manufacturing.
Best-fit use cases
- Commercial field service businesses with technicians and contractors
- Electrical, plumbing, HVAC, security and fire protection businesses
- Businesses combining service, maintenance and project work
Industries and typical customers
Electrical, plumbing, HVAC, security, fire protection and other field-service industries are prominently targeted.

Commercials
Pricing, rollout and what it really costs
WorkGuru pricing, implementation and ownership
WorkGuru publishes modular pricing. The current commercial model is a platform fee including the first 10 users, additional per-user pricing, and optional modules such as Inventory, Workflow Automations and Advanced Forms. Use the live pricing page for current figures rather than duplicating numbers that can go stale. Buyers can start DIY, use WorkGuru-assisted onboarding, or use an implementation partner. Total ownership cost should be assessed across subscription, onboarding, migration, training, integrations and ongoing administration – not subscription price alone.
Simpro pricing
Simpro publishes its plan structure and included capabilities but requires buyers to request pricing. Add-ons are available for capabilities such as digital forms, takeoffs and communications.
Implementation and time to value
Structured onboarding and support are part of Simpro positioning. Exact rollout cost and duration depend on configuration and should be confirmed during evaluation.
Total cost and complexity of ownership
Subscription price is quote-based, so total cost needs to include required add-ons, onboarding, integrations and internal rollout effort.
Switching
Moving from Simpro to WorkGuru
Already using Simpro? WorkGuru can scope a migration rather than assuming a greenfield setup. The migration plan should identify the records you need to bring across, what can be imported, what should remain as historical reference, integration cutover, training and go-live. Exact scope, timing and cost depend on the quality and structure of the source data and the implementation path selected. Do not promise that every historical record or configuration will migrate until the source data has been assessed.
The verdict
The matrix is evidence. This is the buying advice.
Where Simpro is stronger
- Simpro is substantially stronger where the business is field-service-led and needs mature technician scheduling, dispatch, mobile execution and service-job workflows
- Recurring maintenance is a major strength, particularly through Maintenance Planner for customer assets, maintenance contracts, multiple service levels and SLA compliance
- Simpro provides mature project capability alongside field service, including project phases, Gantt views, task dependencies, progress claims, final claims and retention claims
- Its supplier and inventory workflows include purchase orders from jobs, real-time stock, minimum levels, warehouse/storage locations and side-by-side supplier pricing
- Offline field operation is a genuine differentiator for technicians who need to keep working without continuous connectivity
- Simpro has an established qualification/licence-management model for employees and contractors, including licence references, expiries, alerts and critical-licence scheduling controls
- Its 2026 AI investment is material: Delight performs AI-driven customer re-engagement and open-quote follow-up, while Lightning/RAIN is introducing AI-infused scheduling, takeoffs and maintenance functionality
Where WorkGuru is stronger
- WorkGuru is the stronger fit where the operational centre is a fabrication, engineering or custom-manufacturing workshop rather than technician dispatch and recurring service
- Work Areas map directly to workshop bays, machines and departments; Simpro’s resource model is powerful but primarily shaped around technicians, contractors, teams, plant and field-service scheduling
- WorkGuru has a native production-job operating model, while Simpro’s own implementation material explicitly says it does not natively manage manufacturing workflows
- WorkGuru provides dedicated project and task Kanban boards alongside Gantt and workshop planning; dedicated equivalent Kanban boards were not substantiated in the Simpro material reviewed
- WorkGuru provides native serial and batch stock tracking in the supplied scope; current Simpro evidence did not substantiate equivalent inventory-level serial or batch traceability
- For an industrial business whose main question is what each fabricated/project job is costing in workshop labour, purchased materials and consumed stock, WorkGuru’s operating model is more directly aligned than a field-service-first platform
Choose Simpro if…
Choose Simpro if field technicians, dispatch, recurring service and asset maintenance are central to how your business makes money.
Choose WorkGuru if…
Choose WorkGuru if projects, workshop execution, purchasing, materials and real-time job margin are the centre of the operation – especially in fabrication, engineering and custom manufacturing.
The bottom line
Simpro can be the better choice when its core operating model matches the business. WorkGuru should win when the buyer needs a connected operational system around projects and workshop execution with a purpose-built industrial operations platform that can scale from SMB implementation through more structured assisted or partner-led rollouts.
FAQs
Simpro questions
Is WorkGuru a replacement for Simpro?
It can be when the business wants WorkGuru’s operating model and capability set. The right answer depends on which Simpro workflows are actually used today, integrations, data migration and any specialist requirements that must remain elsewhere.
Can we migrate from Simpro to WorkGuru?
Yes, migration can be scoped as part of implementation. What comes across, what remains as historical reference, timing and cost depend on the source data and agreed implementation plan.
Do we have to implement WorkGuru ourselves?
No. WorkGuru supports DIY implementation, WorkGuru-assisted onboarding and partner implementation. Choose the level of help that matches the complexity of the rollout.
How should we compare total cost?
Compare subscription, onboarding, migration, training, integrations and ongoing administration. Avoid comparing a single licence price where the platforms package scope differently.
Is WorkGuru cheaper than Simpro?
That depends on user count, modules, implementation scope and the systems each option replaces or still requires. Use current published pricing and a like-for-like implementation scenario rather than a blanket savings claim.

Customer proof
[CUSTOMER PROOF REQUIRED] Prefer a named customer that moved from Simpro, evaluated Simpro, or replaced a comparable stack. Include the starting problem, why WorkGuru was selected, implementation path and a specific operational result. Do not invent migration or win-rate claims without approved evidence.
Checked 3 September 2026. WorkGuru verdicts are preserved from the supplied comparison page. Simpro was re-audited against current first-party product documentation.
Scope note: Simpro add-ons are first-party products, so the matrix records the capability as available in the Simpro product family while this note identifies packaging. The new native Sales Pipeline & CRM was announced in 2026 as a Lightning feature rolling out progressively, so Sales Pipeline is conservatively Beta.
