Here’s the system fast-growing fabrication companies are using to maximise profit on every job
Most fab shops only find out a job’s costs blew out after it’s invoiced. The fast-growing ones can see hours and materials tracking against the quote while the job’s still on the floor.

Growing a fab shop is hard. It’s even harder when you can’t see where the money’s going.
The work’s coming in, but somehow there’s not much more left over at the end of the year.
Margins get eaten
Extra hours and steel creep into the job and you don’t find out until it’s invoiced. By then it’s too late to do anything about it.
Quotes take too long
Every quote gets built from an old spreadsheet. By the time it goes out, they’ve given the job to someone else.
Customers chase you
They ring asking where their job’s at and you have to say you’ll find out. That’s not how you want to be known.
Fires all day
You spend the day chasing answers instead of running the business. The day’s gone and nothing on your list got done.
So what are the fast-growing ones doing differently?
They run every job through one system, from the first quote to the final invoice. Here’s what that changes.
You see a job going over while you can still fix it
Hours, materials and purchase orders land against the job as they happen, so nothing sneaks up on you.
Quotes go out the same day, priced right
Quote from templates and the real costs of jobs you’ve already done. No more starting from scratch.
You’ve got the answer before they finish asking
Every job’s stage and due date is on one screen, so you become the shop that’s easy to deal with.
Problems show up early, not on delivery day
You deal with things on your own terms and get back to running the business instead of chasing it.
From quote to invoice, your jobs stay visible.

Discovered their contract work was not very profitable
“We’ve had a couple of contract jobs where, once we’ve put everything into WorkGuru, we’ve gone, ‘okay, this is how much we’re actually spending on this. We’re doing all this effort and we’re only making this.’ So we were able to turn around and go back to a couple of our contract customers and go, ‘alright, this price has to go up.’”

The system scales easily as the business grows
“The purchasing and coordination of materials, then going straight into invoicing, is really fluid. It links in the background with Xero and makes it simple for us to process.”

Frequently asked questions
Will this replace Xero?
No. WorkGuru handles the job side — quoting, scheduling, timesheets, purchasing and job costs — and syncs with Xero for your accounting. You keep the system you already use.
How hard is it to get started?
We set it up with you using your own jobs and process, and run twice-weekly drop-in sessions while you find your feet. Most workshops are running live jobs within a few weeks.
What does it cost?
Pricing is per user with optional modules, so you only pay for what you use. See the pricing page for current rates.
Is this only for fabrication businesses?
No. It’s built for project-based workshops generally — fabrication, engineering, manufacturing, machining, joinery and similar. If you run jobs with labour, materials and a due date, it fits.
Our jobs change once they hit the floor. Does that break the costing?
No. Variations and extra work are recorded against the job as they happen, so the costs stay accurate and you can see the difference between what you quoted and what it actually took.
What if we already use MYOB or QuickBooks, not Xero?
All three are supported, along with NetSuite and Business Central. WorkGuru pushes invoices and purchase costs across so the job side and the accounting side agree, without anyone entering it twice.
Can I try it without a credit card?
Yes. The 14-day trial gives you full access with no credit card and no lock-in contract.
